Position Summary - On Site
The Office Coordinator plays a crucial role in ensuring the smooth operation of various tasks and communication within the office environment including reception duties. Their responsibilities typically revolve around assisting with office visitors, vendor communication and coordination, maintaining and organizing the office, coordinating facility maintenance, assistance with employee onboarding, access and various health and safety requirements.   

Your typical week at Maximus
  • Greet and assist visitors, clients, and employees with a warm and professional demeanor.
  • Answer and direct phone calls, emails, and other correspondence efficiently.
  • Maintain a tidy and welcoming reception area.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate and schedule meetings, appointments, and conference room bookings.
  • Assist with administrative tasks, including data entry, filing, and document preparation.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Support HR and management with onboarding and other office-related tasks.
  • Ensure office equipment is properly maintained and coordinate repairs when necessary.
  • Assist in organizing company events and meetings.
  • Enforce office policies and maintain a professional workplace atmosphere. 
  • Liaise with Occupational Health and Safety partners to ensure all safety policies are in place.
  • Liaise with First Aid partner to ensure all First Aid polices are in place, including coordinating training, and ensuring all WorkSafe requirements are met.  
  • Ensure that the appropriate evacuation procedures are posted and clearly communicated to those in the office.
  • Observe and report any security issues to Privacy and Security.
  • Manage employee access cards. 
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Accept and monitor inbound shipments as necessary.


What you offer us
Knowledge Skills and Abilities 
  • Proven experience as a receptionist, office coordinator, or in a similar role.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities. 
  • Ability to apply understanding to carry out instructions in written, verbal, or diagram form.
  • Adjusts and is flexible to meet changing work needs and demands.
  • Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • Is fiscally responsible and suggests cost-saving measures.
  • Excellent analytical and problem-solving skills.

Education and Experience
  • High School Diploma or GED equivalent; post secondary is an asset 
  • 3 years' experience as an Administrative Assistant or Office Administration.
  • Office experience working in a confidential capacity.

Other
  • Must be able to pass a Criminal Record Check
