Role Purpose
  • The Project Administrator provides essential support to the delivery of projects across the UK Portfolio
  • The role ensures that project documentation, reporting, governance activities and administrative processes are carried out accurately, efficiently and in line with PMO standards
  • Working closely with Project Managers, Workstream Leads and the Portfolio Office, the Project Administrator helps maintain project control, visibility and compliance with the agreed methodologies and templates.

Essential Duties and Responsibilities

  • Project Administration & Documentation – Maintain accurate and uptodate project documentation, action logs, RAID logs, schedules and trackers in line with PMO standards
  • Meeting Coordination & Governance Support – Schedule and support project meetings, prepare agendas, take minutes, track actions and ensure governance artefacts are produced on time
  • Reporting Support – Assist in the preparation, collation and qualitychecking of weekly/monthly project and portfolio reports, ensuring accuracy and consistency
  • Template & Process Compliance – Ensure project teams use the correct templates, processes and methods as defined by the PMO Lead, flagging any gaps or inconsistencies
  • Data Management & Systems Updating – Maintain project information within internal systems (including The Max and portfolio tools), ensuring data quality and version control
  • Risk, Issue & Dependency Tracking – Support project leads in capturing, updating and escalating risks, issues and dependencies as required
  • General Project Support & Coordination – Provide daytoday support to Project Managers and Workstream Leads, helping to keep delivery on track and ensuring administrative tasks are handled quickly and professionally.

Preferred Skills and Qualifications
Essential

  • Experience in an administrative or coordinator role, ideally within projects, PMO or change environments
  • Strong organisational skills with the ability to manage multiple tasks and deadlines
  • Excellent attention to detail and ability to maintain accurate records
  • Competent in Microsoft Office (Excel, Word, PowerPoint) and comfortable working with data
  • Ability to communicate effectively with colleagues at all levels
  • Proactive, structured approach to work with a focus on quality and consistency

Desirable

  • Experience working within a PMO or structured project environment
  • Understanding of project terminology, governance processes and lifecycle stages
  • Familiarity with portfolio or project management tools
  • Interest in developing PMO or project management skills (APM/PMO qualifications)
