The Executive Assistant position is responsible for providing administrative support services for multiple C-level executives of a fast-paced and growing organization. The Executive Assistant will be responsible for all administrative coordination in support of this leadership team, working onsite in the Mclean, VA Corporate headquarters. This is a complex role, which requires handling of confidential and sensitive materials.
Essential Duties and Responsibilities:
- Support the Executive as a right hand “gatekeeper”; manage highly sensitive and confidential information with discretion.
- Arrange complex and detailed domestic and international travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the Executive including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
- Optimize calendar for meetings; manage active calendar of appointments; manage inbox and email of the Executive, manage correspondence on a daily basis.
- Work closely and effectively with the Executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Successfully complete critical aspects of deliverables with a hands-on approach, including drafting/editing presentations and correspondence, as well as other tasks that facilitate the Executive's ability to effectively lead the company.
- Prepare board and committee materials as needed.
- Document and filing management.
- Provide a bridge for smooth communication between the Executive's office while demonstrating leadership to maintain credibility, trust and support.
- Expense reporting.
- High school diploma or equivalent required.
- 6+ years of experience supporting C-Level Executives.
- Bachelors’ Degree preferred.
- Professional, polished and mature demeanor.
- Expertise with the most current versions of MS Office applications (Word, Excel, PowerPoint and Outlook).
- Strong organizational skills and superior attention to detail.
- Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff and board members.
- Expert level written and verbal communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
